PERSONNEL DATA

The SDWorx-Pay solution offers a range of Xtra data items which can be used for various purposes enabling user flexibility to add a variety of data against an individual being processed as part of the payroll. These fields can be used for import, export, and reporting. They can be configured to be used for customisable panels and screen entries offering significant flexible configuration use.

These are the SDWorx-Pay personnel data payroll items:

Personnel engine codes allow you to enter the following sorts of additional data for each employee:

  • Up to 99 one-character indicators.
  • Up to 99 eight-character set of personnel data.
  • Up to 99 17-character sets of personnel data.
  • Up to 99 dates.
  • Up to 99 11-character numeric fields.
  • Up to 99 11-character sterling amount fields.

You can also print the personnel data for an employee on the Personnel Data Display.

SIGNED INPUT

You can enter positive or negative cash amounts as adjustments to existing values against some of the personnel payroll items, by preceding the amount with a positive or negative sign. If you enter no sign, a positive replacement amount is assumed. The two items that accept signed input are:

  • Personnel data/X400 – X499
  • Personnel sterling/X500 – X599

PERSONNEL DATA PAYROLL ITEMS

PERSONNEL INDICATORX000 – X099

Use X000 – X099 to specify up to 99 one -character indicators for the employee.

Format 1

One alphanumeric character chosen from A to Z or 1 to 9.

Example

One of the employee’s personnel indicators is B:

X005 B

To DELETE the existing indicator, a specific value is to be entered via your associated data entry solution.

For data codes X000 to X099, the deletion value is #.

PERSONNEL DATAX100 – X199

Use X100 – X199 to specify up to 99 items of personnel data for the employee.

Format 1

1 – 8 alphanumeric characters including spaces, period (.), separator (/), dash (-), ampersand (&), colon (:), semicolon (;), apostrophe (‘), comma (,), asterisk (*) and opening and closing brackets ().

Example

The personnel data to be held against X100 is 35.75:

X100 35.75

To DELETE the existing indicator, a specific value is to be entered via your associated data entry solution.

For data codes X100 to X199, the deletion value is #.

PERSONNEL DATAX200 – X299

Use X201 – X299 to specify up to 99 items of personnel data for the employee.

Format 1

1 – 17 alphanumeric characters including spaces, period (.), separator (/), dash (-), ampersand (&), colon (:), semicolon (;), apostrophe (‘),  comma (,), asterisk (*) and opening and closing brackets ().

Example

The personnel data to be held against X200 is 15.00/35.75:

X201 15.00/35.75

To DELETE the existing indicator, a specific value is to be entered via your associated data entry solution.

For data codes X201 to X299, the deletion value is #.

NOTE – X200 has special reserved use to store a long-format alternative to the payroll employee number. This is used in (amongst other places) the outgoing RTI feed to HMRC, and therefore it’s value is fed back on incoming ELEX transmissions from HMRC. It should be avoided for any other use.

PERSONNEL DATEX300 – X399

Use X300 – X399 to specify up to 99 dates for the employee. Format 1

ddmmyyyy, where dd is the day, mm is the month and yyyy is the year.

Example

The personnel date to be held against X305 is 10th March, 1994:

X305 10031994

To DELETE the existing indicator, a specific value is to be entered via your associated data entry solution.

For data codes X300 to X399, the deletion value is 00/00/0000.

PERSONNEL DATAX400 – X499

Use X400 – X499 to specify up to 99 numeric personnel data items for the employee.

Format 1

Up to 11 numeric characters.

Example

The numeric personnel data to be held against X420 is 42575:

X420 42575

To DELETE the existing indicator, a specific value is to be entered via your associated data entry solution.

For data codes X400 to X499, the deletion value is 0.

PERSONNEL STERLINGX500 – X599

Use X500 – X599 to specify up to 99 cash amounts for the employee.

Format 1

Pence, up to 11 numeric characters.

Example

The cash amount to be held against X545 is £32.75:

X545 3275

To DELETE the existing indicator, a specific value is to be entered via your associated data entry solution.

For data codes X500 to X599, the deletion value is 0.
